What does the agent check in a tender BOQ?

Tender periods are short, and a missed item in the BOQ becomes a loss the contractor carries for the life of the project. The agent's job is to make the gaps visible early enough to price them or ask about them.

WHAT THE AGENT CHECKS IN A TENDER BOQ AND WHAT IT PREPARES
CheckWhat the agent looks forWhat it preparesWho decides
Missing itemsWork in the drawings or specification with no BOQ itemA list of candidate items, each with its sourceEstimator
Quantity mismatchesBOQ quantities that differ from the drawings or a later addendumThe item, both quantities and the document behind eachEstimator

AssumptionsItems priced on an assumption about scope, access or supplyA draft list of assumptions and exclusions for the bidEstimator and bid approver
ClarificationsAmbiguities, conflicts between documents and missing informationDraft clarification questions, in the tender's languageEstimator
AddendaChanges in each addendum against the priced BOQThe items each addendum moves, and by how muchEstimator

What does the estimator still decide?

Everything that is a judgement about risk or price. The agent can show that an item is missing; it cannot decide whether to price it, cover it with an assumption or raise a clarification. It can show that a rate is stale; it cannot decide what the market will charge on this project.

  • The estimator decides the rates, the treatment of each gap, the wording of assumptions and exclusions, and which clarifications to send.
  • The bid approver decides the price, the risk allowance and whether to submit.
  • The agent stages the findings as reviewable items and records which were accepted, changed or rejected, so the reasoning behind the bid survives the tender period.

Why does language matter in a tender in Egypt or the Gulf?

Tender documents, specifications and correspondence in the region often come in Arabic, in English or in both, and a conflict between two language versions is itself a clarification. Crolle is designed to work in Arabic and English, so the agent reads the documents in the language they were issued in and drafts each clarification in the language of the tender.

How does the reviewed BOQ carry into the budget?

The reviewed BOQ, its rates, its assumptions and the answers to its clarifications become the cost basis of the bid. If the work is won, the same record becomes the budget, so a later drawing revision can be traced back to the item it changes. How a tender estimate becomes cost control follows that path, and tracing a drawing revision shows what happens when the drawings change after award.

Every workflow the agent is designed for is listed on the agent overview, and how it reaches the ERP is on Crolle's ERP over MCP.

Common questions

What does an AI agent look for in a tender BOQ?

Crolle's agent is designed to look for work in the drawings or specification that has no BOQ item, quantities that differ from the drawings or a later addendum, items with no rate or a stale one, assumptions the price depends on, and conflicts that need a clarification.

Does the agent price the tender?

No. It can show where a rate is missing or out of date and what the rate basis holds, but the estimator sets the rates and the bid approver decides the price, the risk allowance and whether to submit. The agent stages its findings for those people to accept, change or reject.

Can the agent draft tender clarifications?

Yes. It drafts clarification questions for ambiguities, conflicts between documents and missing information, each pointing to the documents behind it and written in the language of the tender. The estimator decides which questions are sent.

What happens to the tender review if the project is won?

The reviewed BOQ, its rates, its assumptions and the answers to its clarifications become the cost basis of the bid, and the same record carries into the budget after award. That is what lets a later drawing revision be traced back to the item it changes.
